Position Summary:

Reporting to the VP of the Office of DEIR, the DEIR Operations Specialist is responsible for the efficient organization of the Office of DEIR, on the daily and short-term project levels as well as on long-term strategic project levels. In addition to the project management aspects of the role, additional key features include: the ability to move quickly and thoughtfully, effectively interact with multiple people at all levels across the Society, be highly responsive to queries and requests, calmly navigate ambiguity, and develop and maintain trust of sensitive information and of people across the Society. The role includes collaboration with team members to determine and prioritize programs, initiatives, and events.

 

The incumbent regularly makes strategic decisions about the Office’s operations, determines key performance indicators, and establishes and tracks the unit’s performance through dashboards.  This role also will be responsible for helping the VP of the Office of DEIR manage departmental budget and expenses, understand general business operations, and guide the unit as it works with staff, members, governance, and other stakeholders. The DEIR Operations Specialist is responsible for supporting the Office of DEIR’s VP with scheduling, taking meeting minutes, creating presentations and reports, and coordinating travel.

 

The DEIR Operations Specialist must display a proven ability to simultaneously handle multiple responsibilities and tasks. The incumbent’s ultimate responsibility is to continuously improve the operational efficiency of the Office of DEIR as it works toward achieving Goal 5 in the ACS Strategic Plan.

 

Position Accountabilities:

  1. Work with established goals to build out timelines, deliverables, and KPIs for projects in collaboration with portfolio and program managers.
  2. Lead coordination of initiatives, programs, and projects within the Office of the DEIR and, where applicable, across the Society.
  3. Produce and improve presentations and reports for different types of stakeholders across the Society and the chemistry enterprise
  4. Develop relationships with critical stakeholders across the Society so that the Office of DEIR and its VP can function effectively

 

Required Skills:

  1. Possess excellent organizational skills as well as the ability to meet deadlines with minimal supervision
  2. Have the ability to coordinate multiple initiatives, programs, and projects within the Office of the DEIR and across the Society.
  3. Be capable of creating presentations and reports for different types of stakeholders across the Society and the chemistry enterprise
  4. Exemplify time management by coordinating logistics for the VP of the Office of DEIR as well as create reports, meeting minutes, and expense reports in a timely and efficient manner with minimal supervision
  5. Develop and maintain trusted relationships with critical stakeholders across the Society so that the Office of DEIR and its VP can function effectively
  6. Demonstrate the ability to independently and swiftly identify and resolve issues

 

Required Education and Experience:

  • Bachelor's degree in business administration or related field and 3+ years of experience managing complex enterprise operations or equivalent experience
  • Demonstrated ability to manage projects, schedules, dashboards, and plans
  • Has strong, persuasive communication skills, both oral and written
  • Demonstrates problem-solving skills
  • Proven ability to manage expense reports
  • Ability to be agile in a fast-paced environment
  • Experience with issues in diversity, equity, inclusion, and respect desirable
  • Have advanced skills in Microsoft office suite of products, including Excel and PowerPoint, as well as virtual meeting platform
  • Business travel ranges from 10% to 25% depending on business needs. Position based in Washington, DC office.

Position Summary

This position will be primarily based in the D.C. (or applicable) office. ACS offers hybrid work arrangement of three days per week working in the office and two days per week working remotely. New employees are immediately eligible for this hybrid work arrangement. ACS offers relocation assistance, if applicable.
