The Global Marketing Department within the Publications Division of the American Chemical Society (ACS Publications) is responsible for developing marketing strategies, implementing outreach initiatives, delivering award-winning creative and executing superior events to engage its global audience, all within an advanced technical and data-driven environment. Tasked with promoting a robust product line of over 75 journals, eBooks, and a range of digital offerings, the Global Marketing Department is committed to facilitating for the larger scientific community a seamless online, purchasing, and reading experience. Key constituents include researchers, authors, reviewers, editors, institutional/corporate librarians, and administrators, funders, and ACS members. The teams within the Department collaborate to develop lasting community relationships and engagement that promote positive brand sentiment, ultimately driving readership, authorship, and revenue. With a truly global research community as its audience, ACS Publications is continuously focused on expanding its footprint and influence.  

 

 

Position Summary

Reporting to the Manager, Exhibits & Events, the Exhibits & Events Associate will be responsible for assisting with the planning and logistical support for ACS Publications exhibits program and special events, including meetings and conferences promoting the journals program. The incumbent will provide coordination, support and oversee logistical aspects of meeting planning by creating and following production timelines with the creation of event specs, vendor RFPs and venue process, budget forecasting, budget management and providing onsite staffing and logistical management for the special events, and editorial meetings/events.  The incumbent will provide timely, outstanding customer service for internal and external clients.

Position Accountabilities

  1. Provides assistance and coordinates meetings logistics for international and domestic exhibits, conferences, meetings, events and receptions under the direction of the Exhibits team to include registering staff, ordering giveaways, catering and other logistical support as needed.
  2. Ensures all assigned deliverables are completed to the utmost quality and at the specified timeline.
  3. Ensures effective and appropriate communication with internal and external clients and collaborates and provide timely, outstanding customer service.
  4. Serves as primary liaison to AFP & other shipping vendors. Produce and distribute an accurate monthly inventory list of materials at AFP, ship materials to conferences, and perform audits with the marketing team.
  5. Assists with the development of the annual exhibit schedule in conjunction with Sales & Marketing. Compiling the conference requests and managing deadlines to review and finalize the list.
  6. Collaborates with the ACS Meetings Department to meet deadlines and ensure appropriate logistics, including coordinating sponsorships for the ACS Spring & Fall Conference.

 

 

Education/Experience/Technological Knowledge

College degree or equivalent experience or formal training; minimum 3-5 years of experience with event management related experience.  Team player with excellent organizational skills, highest level of personal accountability, strong oral and written communication skills, superb PC skills, and keen attention to detail required. Must be able to juggle multiple projects and be self-directed in a fast-paced environment.

Position Summary

This position will be primarily based in the Washington D.C. (or applicable) office. ACS employees work a hybrid work schedule, consisting of working onsite, three days per week. ACS employees are in the office on Tuesday and Wednesday with the third in-office day scheduled in consultation with the manager. While always welcome to work in the office, employees may work the other two days of the week from a location of their choice. New employees are immediately eligible for this hybrid work arrangement. ACS offers relocation assistance, if applicable.
