Unit Overview
The Office of Research Grants (ORG) acts for the American Chemical Society in the administration of all research grants programs of the Society. The mission of the Office of Research Grants is to administer these programs so that they conform to the guidance provided in the founding documents, and at the same time have significant impact consistent with the vision for the programs provided by the ACS Board of Directors. The office administers The ACS Petroleum Research Fund (PRF), the Herman Frasch Foundation Grants in Agricultural Chemistry, and the Irving S. Sigal Postdoctoral Fellowships. Primary responsibility is for the ACS PRF, a program of research grants to nonprofit institutions, primarily colleges and universities.
Position Summary
The Grants Administrator provides support services to two Program Managers, and to the Office of Research Grants. The incumbent assists the Program Managers with all aspects of that job with special attention to the proposal submission and proposal review process of The American Chemical Society Petroleum Research Fund.
The position requires excellent attention to detail, and advanced-level use of word-processing software. The ability to handle confidential documents is essential.
Position Accountabilities:
- Supports the PRF proposal and grants management process using Salesforce.
- Helps monitor data quality, resolve data quality problems, and collaborate with the Database Manager to improve proposal and grants management processes.
- Contributes to the planning and execution of biannual, multi-day committee meetings including the preparation of material.
- Communicates with chemical science community members to answer questions related to subject matter, referring technical questions to the appropriate Program Manager.
- Creates files and tracks documents for special programs such as the Sigal Fellowship, special events, etc., as required to assist ORG operations.
- Completes special projects as required.
Education/Experience:
BA/BS degree or equivalent combination of education, certifications, and experience in areas of related discipline. 3 – 5 years of experience. Ability to use Microsoft Office Suite–Excel, Word, PowerPoint–at an advanced level required. Familiarity or working experience with a web-based portal submission system and complex database. Specific experience with Salesforce software preferable.
Excellent attention to details. High level of organization, efficiency, and reliability.
Possible travel.
This position will be primarily based in the Washington D.C. (or applicable) office. ACS employees work a hybrid work schedule, consisting of working onsite, three days per week. ACS employees are in the office on Tuesday and Wednesday with the third in-office day scheduled in consultation with the manager. While always welcome to work in the office, employees may work the other two days of the week from a location of their choice. New employees are immediately eligible for this hybrid work arrangement. ACS offers relocation assistance, if applicable.
