This accounts for between 20-30 meeting annually, ranging in size from 150 – 15,000 attendees.


Position Summary

This position located in the Department of Meetings and Exposition Services, reporting to the Manager of Business Systems Administration, is responsible for providing support to society members to ensure that each scientific event meets the needs of stakeholders. The incumbent will become expert working within the abstract collection and management system, event registration platforms, online learning platforms, and other related platforms.  The incumbent will lead and train ACS volunteer members in completion of event planning tasks. The incumbent will be a part of an inter-departmental team that supports all aspects of meetings and events. 


The Program Specialist will:

  • create, manage, and oversee the production timelines for society annual meetings.
  • oversee the abstract collection and management for ACS national and regional meetings and specialty conferences.
  • create and lead training for volunteer meeting planners.
  • serve as a program administrator for volunteer meeting program planners by assisting them with organizing and managing their programs.
  • ensure participants meet production deadlines and assists with finalizing their event schedules.
  • ensure quality of published material utilizing program integrity checks.
  • maintain oversight of professional services vendors and contractors.
  • assist with the development and testing of member-facing applications that support the activities of the Division Meetings and Exposition Services.
  • be available to travel a minimum of 4 weeks per year.
  • serve as a member of the Business Systems Administration team and assist with other society-wide projects as needed.


Required Experience

Requires BA/BS degree or equivalent. Minimum of 3 years of experience with customer facing support and account management.  The position requires the ability to manage simultaneous projects for multiple stakeholders.  Demonstrated project management experience is a recommended.  Looking for a candidate that is skilled at managing clients and accounts, is adept at customer support and able to quickly learn and excel within multiple systems and data platforms.


This position will be primarily based in the Washington D.C. office. ACS employees work a hybrid work schedule, consisting of working onsite, three days per week. ACS employees are in the office on Tuesday and Wednesday with the third in-office day scheduled in consultation with the manager. While always welcome to work in the office, employees may work the other two days of the week from a location of their choice. New employees are immediately eligible for this hybrid work arrangement. ACS offers relocation assistance, if applicable.
