This position supports the VP of Communications by providing administrative and organizational support. The incumbent will help foster a culture of collaboration and respect across the division by helping develop and implement uniform office-wide procedures for efficient operations. The incumbent will support the entire division through the management of 2 FTEs.


Essential Duties/Tasks/Responsibilities

  • Support VP of Communications Division by providing administrative and organization support. Assist VP with meeting scheduling, including Division meetings, travel logistics, and distribution of communications, as well as other tasks as assigned. Serve as office manager, overseeing administrative functions across the Communications Division and supervise two FTEs. Compile and edit weekly and monthly report content. Assemble and maintain Divisional organization charts.
  • Foster mutual respect and teamwork to leverage the expertise, talent and capabilities of all team members. Assist with the implementation and monitoring of uniform office-wide procedures to ensure successful and efficient operation of the Communications Division in the areas of office management & administration, personnel, meetings/travel arrangements and logistics, budget & finance, and records retention.
  • Within the Communications Division, manage the processing of invoices, vouchers, contracts, and subscription accounts to ensure accurate and timely submission, and proper account coding. Support Business Analyst in reviewing monthly management reports and report budget variances and discrepancies to senior managers. 
  • Oversee administrative support to various governance committees supported by the Communications Division including, but not limited to, the C&EN Editorial Board, Society Committee on Publications, the Committee on Community Associates, and the Committee on Public Affairs & Public Relations. Ensure coordination between Communications Division units, ACS Management and Governance on meeting preparation, logistics, agenda books, post meeting materials, etc.
  • With the VP of Communications, identify areas for professional development, establish and pursue an action plan for improvement, and demonstrate growth.


Essential Job Requirements

College degree or equivalent experience required.  8+ years of related experience. Familiarity with budgeting processes strongly preferred.  Proficiency with Microsoft products required.
