Division and Unit Overview

The Office of Administrative and Customer Services provides a wide range of services to ACS customers and staff and is composed of two units, The Information and Customer Resource Center (ICRC) and Building and Administrative Services.  The Information and Customer Resource Center (ICRC) consists of the Office of Society Services and the former Information Resource Center.  Office of Society Services (OSS) is responsible for consolidating Society products and services into a cohesive high-quality customer service center.  OSS supports the Society’s membership goals by providing a one-stop shopping opportunity to Society members and customers.  The Office also works closely with Finance to process payments, invoices, registrations, advertisement billing and product orders using multiple systems including, but not limited to netFORUM, CDS, eReg, and MSG Ad Manager. 


The Information Resource Center makes information available to staff and governance to further the study and development of Chemistry.  The Building and Administrative Services Department includes Facilities, Purchasing, Travel, and Conferencing as well as the Service Center.  Building and Administrative Services has primary responsible for and manages approximately $70,000,000 worth of the Society’s real property assets including the Headquarters and Othmer Buildings and manages the lease for the leased space located at 1615 L Street in Washington, D.C.  Facilities provides centralized support services for all ACS staff and tenants.  Purchasing provides a high-quality procurement function for ACS staff.  The Travel Office provides full travel services for the Executive Director, governance and ACS staff.  The Service Center provides high quality shipping, receiving and copy services to ACS staff.  These offices have a wide-ranging impact on operational costs and the ability of the Society to attain membership goals.



Position Summary  

Performs formal contract reviews with a focus on procurement of services, strategic sourcing, and vendor relations. Primary functions within contract review include coordinating business review of contracts within established ACS guidelines and policies; assisting with contract negotiations; escalating to management for necessary approvals; and ensuring proper implementation of contracts. Strategic sourcing and vendor relations functions will include facilitating the RFx process, proactively communicating with vendors, and holding vendors accountable for contractual obligations. Contributes to projects to develop enterprise level procurement services to obtain quality services at reasonable cost and ensuring that the procurement process is competitive and aligned with ACS goals and core values. This position reports to Assistant Director, Information Resource Center.

Position Accountabilities

  1. Review, negotiate, and administer Master Services Agreements, Statements of Work, Contract Amendments and Addenda; ensure compliance with all established policies and standards.
  2. Support leaders in evaluating vendors, negotiating terms, and drafting contracts, balanced against the best interest of the Society.
  3. Identify, assess, and select vendors in support of vendor relations. Build and maintain relationships with vendors, coordinate communication, and execute corrective actions if necessary.
  4. Facilitate the RFx process with internal business units and external vendors.
  5. Conduct quarterly business reviews of targeted vendors with internal customers and facilitate related communication with vendors.
  6. Support development of enterprise level procurement services and strategic sourcing initiatives. Contribute to execution of projects once approved.
  7. Proactively establish relationships with vendors and internal customers, including Purchasing, Finance and Legal.
  8. Participate in projects to redefine and improve contracts operations.
  9. Provide superior customer service to both internal and external customers by providing timely and accurate information in response to inquiries and training internal staff to research contracts using Laserfiche Records Repository, Laserfiche Forms, PeopleSoft and other systems as needed.




Education/Experience/Technological Knowledge

College degree (relevant field) or equivalent experience; 5+ years of related experience; an advanced degree may be substituted for work experience.

Demonstrated expertise with Outlook, Microsoft Word, Excel, PowerPoint and Visio. Experience with one or more of the following is highly desired but not required: PeopleSoft, Basware, LaserFiche, DocuSign, and Contract and Vendor Management software is highly desired



Position Summary

This position will be primarily based in the Washington D.C. (or applicable) office. ACS employees work a hybrid work schedule, consisting of working onsite, three days per week. ACS employees are in the office on Tuesday and Wednesday with the third in-office day scheduled in consultation with the manager. While always welcome to work in the office, employees may work the other two days of the week from a location of their choice. New employees are immediately eligible for this hybrid work arrangement. ACS offers relocation assistance, if applicable.
